Friendly check-in scripts that work

During the 8 a.m. rush, I keep a laminated one-page welcome script at the desk to confirm name/DOB, verify insurance, and set expectations for wait times — has anyone got wording or a printable template that keeps it warm but efficient? I’m also after calm, neutral phrasing for urgent-sounding calls so we can route to a nurse quickly while reminding the caller to seek a licensed professional or emergency care for severe symptoms.

At the ‘8 a.m. rush’ we use: ‘Name/DOB, insurance ready; wait ~X minutes.’ Urgent: ‘Connecting nurse; severe? Call 911.’ Printable?

, the 8 a.m. rush is brutal — I added a tiny dry-erase box on the laminated sheet to write “Today’s wait about 12–15 min,” then say, “Can I confirm your name and DOB, and do you have your insurance card handy?” For urgent-sounding calls, we use: “I’m connecting you with a nurse now; if symptoms feel severe or suddenly worse, please call emergency services.” Want my one-page template?
