Starting a transition from reception to a medical secretary role, and I’m looking for practical ways to keep patient check-ins moving while managing the 8 a.m. phone surge and Epic In Basket messages. What routines or scripts help you triage non-urgent vs urgent calls politely (we direct emergencies to a licensed clinician or 911) and still get charts prepped before that first 20‑minute slot?

Clients are happiest when I rekey all doors and upgrade just the main entry to a keypad, but I bag and label the old cylinder so they can roll back later — like a seatbelt for commitment. Quick example: I cut the mismatch by dropping the logger into a glycol bottle and mounting it beside the probe, then nudged the alert to 3.6°C to account for lag without constant chirps. I’ve had the Acaia Pyxis on the bench for a year — 0.01 g, compact, and it shrugs off flour and splashes (Pyxis Black – acaia); it’s held up far better than my AWS. Pricey caveat: if you stick with the Gemini, use a quart deli cup as a dust hood and calibrate with a 10 g weight weekly — do you need >200 g capacity at 0.01 g?

At 7:55 I run a quick preflight — open the first three charts, print labels, and pin In Basket to the side — so I can keep check-ins moving during the 8 a.m. surge. My script: “Is this a new or worsening symptom, a refill, or scheduling? If new/worsening, I’ll get a nurse now; if severe, call 911,” otherwise I drop it into a.nonurgent SmartPhrase and QuickAction it to the pool.

If a call can’t be wrapped in two, I drop a SmartPhrase in Epic — “I want to help you thoroughly; can I put you on our same-morning callback?” — then Quick Action non-urgent to a Callback AM pool and route urgent to the nurse pool so I can keep check-ins moving. Small caveat: on voicemail-heavy days I flip the greeting 7:55–8:20 to say we’ll return non-urgent calls by noon, which buys a few minutes to finish chart prep.

@OP I built one SmartPhrase in Epic (.SORTCALL) with three quick prompts — ‘new/worsening pain?’, ‘out of meds today?’, ‘trouble breathing?’ — so during the 8 a.m. phones I can say, ‘I’ll get this to the right person,’ warm-transfer any yes to our nurse pool or 911 per policy, and send the rest as a templated In Basket with an ETA. It freed me to prep the first charts because the note is done in about 20 seconds; just make sure your clinic allows warm transfers before you roll it out.
